Family Promise of Waukesha County, Inc. is seeking an energetic, organized, people person, who is an excellent communicator and enjoys working with diverse people, to join our growing organization as the Program Coordinator. The Program Coordinator works collaboratively with the Executive Director and Case Manager(s) to provide support, organization and logistical coordination for all programs that serve families experiencing or in danger of experiencing homelessness. Emphasis will be placed on volunteer recruitment and orientation, maintaining statistics and data, planning and implementing seminars , supply drives, and the coordination of logistical aspects of Family Promise programming. The successful candidate will be an individual who is a self-starter, an excellent communicator, able to work with diverse people, and demonstrates flexibility.

Job Description Program Coordinator


Summary/Objective

The Program Coordinator works collaboratively with the Executive Director and Case Manager(s) to provide support, organization and logistical coordination for all programs of Family Promise of Waukesha County. Emphasis will be placed on Volunteer Management, statistics, implementing seminars for clients and volunteers, supply collection, and coordination of logistical aspects of Family Promise programming.


Position Type/Expected Hours of Work

This is a full-time, exempt position. Some weekend and evening hours may be needed.


Qualifications and Competencies

The Program Coordinator will possess a minimum of a bachelor’s degree in a social service field and have experience in managing volunteer, event planning and coordination. This person will have strong interpersonal skills and manage a variety of tasks consecutively.

  3. Strong communication and people skills.

  4. Experience in volunteer management.

  5. Maintains confidentiality.

  6. Data Entry and CRM management.

  7. Produce reports to demonstrate organizational performance.

  8. High competency using MS Word, Excel, SharePoint, and CRM Software, Google drive and associated programs.

Essential Functions

Manage logistics of the Apartment Shelter Program including:

  • Communicating with landlords

  • Set-up of each apartment -coordinating with our furniture volunteers and Sleep in Heavenly Peace.

  • Ensuring supplies are maintained in each unit during the families stay

  • Coordinate repairs and maintenance for each apartment as necessary

  • Working with volunteers to “turn over” an apartment and preparing it for a new family within 72 hours.

  • Work with Volunteer Coordinators in providing supplies as necessary

  • Maintain statistics (shelter performance tracking) for the Apartment Shelter Program


Provide support for the Family Homelessness Prevention Program

  • Monitor applications and ensure applications and needed information is provided to the Executive Director and Case Managers.

  • Keeping statistics of families in the program and follow-up

Work with the Executive Director and Case Manager(s) in developing a program of workshops for guests and volunteers supporters including A Night Without A Bed.

  • Implement the Keys to Good Tenancy and Financial Literacy Programming

  • Identify topics and guest speakers.

  • Identify agencies, individuals with whom we could collaborate

  • Assist with marketing and promotion of the program


Coordinate volunteers for the organization

  • Assist in the recruitment, training, orientation of volunteers

  • Expand our volunteer base by reaching out to other entities

  • Work with Executive Director in developing, and implementing a gap year volunteer program

  • Provide volunteer training in collaboration with the Executive Director

  • Maintain records of volunteers (who, where they are from, how they would like to volunteer, number of volunteer hours)

  • Offer in-service programs for volunteers and other supporters

  • Schedule volunteers as needed


Develop a program to develop relationships with landlords

Manage logistics for the Congregational Shelter Model

  • annual host week calendar;

  • daily communication and updates with the Volunteer Coordinators

  • Provide a weekly guest update (with input from the ED and Case Managers)

  • Coordinate monthly volunteer coordinator meetings

  • weekly communications with on duty host and support volunteer coordinators; managing output data from the congregations; and assistance with annual congregational program reviews.


Coordinate all supply drives such as gift cards, hygiene supplies, school supplies, winter clothes and Christmas gifts.

Supervisory Responsibility

Will provide direct supervision to volunteers.


Work Environment

This job operates in an office environment within a day center shelter for homeless families. It involves regular interaction with and distractions from day center guests and drop-in/call-in donors, volunteers, vendors and clients. This role routinely uses standard office systems such as computers, phones, photocopiers and filing cabinets.


This job also requires occasional travel by automobile thereby exposing one to changing weather conditions.


Physical Demands

The employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee regularly lifts and moves up to 25 lbs.



Travel

Travel is minimal and exclusively local during the business day.
